Purpose

This procedure outlines how Money Mentors will handle privacy complaints related to the collection, use, storage, or disclosure of personal information under the Orderly Payment of Debt (OPD) program.

Who Can Submit a Privacy Complaint?

Any client, employee, or third party who believes that their personal information has been improperly handled may file a privacy complaint.

How to Submit a Privacy Complaint

Written Complaint Submission

  • Complaints must be submitted in writing to the Privacy Officer.
  • Include the following details:
    • Full Name & Contact Information
    • Description of the Issue
    • Date of Incident
    • Supporting Evidence

Privacy Complaint Handling Process

Step 1: Acknowledgment

Money Mentors will acknowledge receipt of the complaint within 5 business days via email.

Step 2: Investigation

Money Mentors’ Privacy Officer will review the complaint within 20 business days, including:

  • Interviewing relevant staff.
  • Examining data records and security logs.
  • Consulting legal or compliance teams if necessary.

Step 3: Resolution & Response

Money Mentors’ Privacy Officer will provide a written response within 30 business days, outlining:

  • Findings of the investigation.
  • Corrective actions taken (if necessary).
  • Client rights for further appeal if dissatisfied.

Escalation Process

If the complainant is not satisfied with Money Mentors’ response, they may escalate their complaint to:

Record Keeping & Compliance

Money Mentors will retain all complaints and resolutions for at least two years.
